Who is responsible for your information?
Bolabode Consulting & Media Ltd, known as BCM, is responsible for the personal information covered by this notice. We are registered in England & Wales under Company No. 16941557. Our registered office is 61 Bridge Street, Kington, HR5 3DJ.
For privacy questions or requests, contact hello@bolabode.com. You can also write to the registered office.
This notice covers use of bolabode.com and enquiries made to BCM. Where an engagement involves additional personal information or a different use, we will provide the relevant information before that use begins.
Information we collect
When you enquire, we collect your name, email address, organisation where voluntarily supplied, selected service and the message you send. We also keep relevant follow up correspondence.
When you contact us by email, we receive the contact details and information you choose to provide.
When you use the website, Squarespace may process technical information needed to deliver, secure and operate the site. This can include information such as your IP address, browser and device information, pages requested, timestamps and information used to identify or prevent technical or security problems.
If you accept optional analytics, Squarespace may also use analytics and performance technologies to help BCM understand visits, sessions, traffic sources and how the website is used. Optional analytics remain off unless you accept them through Cookie settings.
Please avoid including sensitive personal information or confidential details about other people in an initial enquiry. We need enough contact information and context to consider your request and reply.
Why we use your information
For an enquiry from an individual considering engaging BCM personally, information may be processed where necessary to take steps at that person’s request before entering a contract.
For business enquiries and ordinary business correspondence, BCM relies on its legitimate interests in considering enquiries, communicating about its services and operating the business.
Limited technical and security information may be used where necessary for BCM’s legitimate interests in operating and protecting the website, preventing misuse and maintaining service security.
Information required for privacy rights requests and data protection complaints may be processed where necessary to meet legal obligations.
Information may also be retained where reasonably necessary to establish, exercise or defend legal rights.
Optional website analytics use consent under BCM’s chosen website configuration.
Who receives your information?
BCM uses Squarespace to operate the website and enquiry form, Namecheap to provide relevant domain or email services and Google services, including Gmail, to read and manage correspondence.
Website enquiries are reviewed and managed by Bola Olabode.
Service providers may use approved subprocessors where necessary to provide their services.
Information used outside the UK
Some of BCM’s service providers may process information outside the UK as part of providing their services. Squarespace, Namecheap and Google may process information internationally.
Where required, these providers use recognised data transfer mechanisms and contractual safeguards.
You can contact hello@bolabode.com if you would like further information about safeguards used for an international transfer of your information.
How long we keep information
If an enquiry does not become a client engagement, we normally keep the enquiry and related correspondence for no more than 12 months after the last meaningful contact.
If an enquiry becomes a client engagement, relevant engagement records are generally kept for 6 years, subject to any different requirement applying to a particular record. Invoices and accounting records are kept for 6 years.
Temporary working files are normally kept for no more than 90 days unless they become part of a record that needs to be retained longer.
Privacy rights requests and data protection complaint records may be kept for up to 3 years after the matter is closed, unless longer retention is reasonably necessary for a legal obligation or legal claim.
Technical and security records are retained only for as long as needed for the relevant operational, security or legal purpose.
Your rights
Depending on the circumstances, you may ask to access your personal information, correct inaccurate information, have information deleted or restrict how it is used. You may also be able to receive information in a portable form and object to processing based on legitimate interests.
Where consent is the basis, you can withdraw it at any time. Withdrawal does not affect processing that was lawful before you withdrew it.
These rights have conditions and exceptions. Contact hello@bolabode.com to make a request. We may need information to confirm your identity before acting on it.
Automated decisions
BCM does not use information submitted through the website enquiry form to make solely automated decisions about whether to accept an enquiry or provide services. Enquiries are reviewed by a person.
If you have a concern
You can raise a data protection complaint by emailing hello@bolabode.com or writing to the registered office. Please describe the concern and how you would like us to contact you.
We will acknowledge your complaint within 30 days of receiving it, investigate without undue delay and explain the outcome. We will keep you informed where further investigation is needed.
You also have the right to complain to the Information Commissioner’s Office. Visit the ICO’s complaints page for information about how to do so.
Changes to this notice
We will update this notice when the way we handle information changes. The date at the top identifies the current version. Where necessary, we will bring a material change to your attention.
